New deployments in hybrid meetings

BArcoLatin America. With the aim of minimizing mobility in cities to avoid the spread of the virus exponentially as a result of COVID-19, the transition to teleworking was used, which involves configuring a remote system in which it is possible to achieve the objectives through virtual tools.

One of the primary concepts in the era of teleworking, according to the company Barco, refers to hybrid meetings. To understand it it is necessary to mention that they are those that are carried out with a part of the audience that joins from the office and another part joins remotely, enabled by the technology of audio and video conferences with a strong focus on the exchange of content. If this possibility of communication did not exist in organizations, there would be no true consensus of remote decision-making.

The possibility of establishing a work connection from anywhere is a unique feature that companies like Barco have achieved through technologies such as Clickshare, the wireless conference and presentation solution that allows management and interaction in an easy and natural way. As there is the possibility of obtaining the benefits of personal communication and the benefits of virtual meetings, the focus is on project collaboration.

It has represented a significant change to carry out a transition that involves effective participation from various points of work; To follow this model there are four fundamental pillars that have led organizations to resort to the hybrid approach:

Innovation and Collaboration: For employees it is essential to have direct contact with their work team since closeness allows them to be clearer in the development of ideas, the option of teleworking through videoconferencing technologies eliminates intercommunicative barriers by having a clear and precise interface that causes greater confidence in work meetings.

Different time zones: Globalization has brought with it the opportunity to expand work horizons, now organizations have a very wide catalog of countries in which they have a presence, if they have the right system for managing successful meetings, the results can be extraordinary.

Environment: Moving to the workplace implies the body wear of the employee, as well as the environment, we mean that the pollution that occurs every day presents alarming figures to the planet, reducing energy consumption also creates awareness and ecological sustainability.

Measures against the pandemic: The need for a new way of carrying out the flow of information due to the pandemic crisis, forced organizations to look for other forms of collaboration remotely. Currently at least 1 in 4 meetings are held under this model, adapting to changes is necessary to face continuous challenges.

In a study conducted by Barco, it was obtained that according to the percentage of meetings that have been carried out in the last quarter, at least 23% had an effectiveness of personal and remote assistance, that is, hybrid meetings that following this model were carried out successfully.

To solve the question in organizations about how to act once the conditions allow the gradual return to their facilities, it was obtained that there are meetings in which the presence of the participants is necessary, since they are issues where important decisions are made 42%, while in 45% presentations are made and in 40% brainstorming or creative is needed. While those where trainings, courses, monitoring of projects, among others, are carried out, it is not necessary that they meet in their entirety in person and have the particularity of being carried out in a hybrid way.

Due to the new trends that arise in crisis situations, the reinvention of workspaces are the necessary resource to survive in times of uncertainty, implement new technologies that improve the channels of communication between the participants of organizations help the public and private sector to survive, rebuild and eventually thrive in a post-pandemic world, providing its employees with the comfort and ergonomics suitable for the development of activities.
